Important detail gets lost after the sale
Scope, products, terms and customer context get lost between the CRM, the proposal and the delivery team.
I help you decide how the process should work, then configure the systems to support it. Many clients first come to me for HubSpot or Autotask, but the real problem often crosses quoting, service delivery, contracts, billing and reporting.
MSP revenue operations connects the teams, data and systems involved in turning a sale into delivered work, an accurate invoice and useful management reporting.
“Revenue operations” is useful shorthand, but it should not hide the actual work. This service deals with sales handovers, quoting tools, PSA configuration, contracts, service delivery, billing, accounting and profitability.
Scope, products, terms and customer context get lost between the CRM, the proposal and the delivery team.
Services, quantities, exclusions and billing rules no longer match the commercial agreement.
Technician time is late, miscoded or detached from the contract and service it should cost.
Revenue, recurring cost and labour cannot be reconciled by client, contract or service.
There is no single right MSP stack. What matters is deciding what each system should own, what information needs to move and who needs it next.
I design CRM objects, stages, products, automation, reporting and integrations around the PSA handover and the way the MSP manages accounts.
I have used and consulted on Autotask for many years, including service desk, projects, contracts, exclusions, work types, recurring services, procurement, accounting and profitability.
Zomentum is one strong option, especially between HubSpot and Autotask. Kaseya Quote Manager, Quoter and other tools may suit a different requirement. The right quoting tool depends on your sales process, integrations and wider stack.
If finance still needs a spreadsheet to check what the PSA says, the process is not finished.
Document the handovers, workarounds, duplicate entry, spreadsheets and decisions that currently sit with individuals.
Define which system owns each record, what must be complete before transfer and how exceptions are handled.
Clean data, configure objects and contracts, build automation, test exceptions and establish useful reporting.
Complex MSP projects are difficult to price responsibly when several platforms overlap or the real problems only appear during implementation. The Blueprint maps the current state, agrees the future process and system ownership, records risks and dependencies, and produces a prioritised implementation plan.
After the problem is understood, work normally continues as a defined implementation project or retained consulting.
Best when the outcome, data, dependencies and acceptance criteria can be defined clearly.
Best for staged improvement and work that develops as changes are implemented.
An MSP may initially ask for help with Autotask billing, but the root cause can span quoting, contract structure, work types, technician time and accounting mappings.
If the problem really is confined to one platform, we can start there.
“Initially we sought Ben’s support to help with a specific tactical challenge we had around quote to billing workflows through HubSpot, Zomentum, and Autotask. It was clear to me after our first meeting that Ben had a lot more value to add. Ben was a great sounding board for ideas, and his understanding of designing efficient processes was top draw. Drawing on his knowledge and experience Ben has saved me a number of hours!”Chris Gorman, CEO, Apex Computing
No. Sales operations usually focuses on pipeline, process and sales performance. This work follows the commercial record through quoting, service setup, contracts, technician time, billing, accounting and profitability.
Usually not. Most projects first clarify ownership, remove duplication and improve configuration. Replacement only makes sense where a platform cannot support the agreed process at a sensible cost.
No. They are two of my deepest areas of expertise and where many clients first find me, but I also work with other CRMs, PSAs, quoting tools and accounting platforms. The right platform depends on the wider process and existing stack.
If the issue is clear and contained, start with a discovery call. If several systems or teams are involved and scope is uncertain, the Revenue Operations Blueprint is usually the better starting point.
Tell me which systems are involved and where work becomes manual, unreliable or difficult to report. I’ll help you work out the best place to start.
