# AEO for MSPs: how to get found, cited and considered in AI search

**Answer engine optimisation (AEO) for MSPs means improving how your managed service provider appears when buyers ask AI tools about IT support, cybersecurity and choosing a provider.** It involves answering relevant questions clearly, supporting your claims with evidence and examining the sources cited in those answers.

Imagine a business owner asking an AI assistant:

> “We’ve outgrown our current IT provider. How should we choose an MSP that can support multiple offices and work with our internal IT manager?”

That question contains a problem, a buying requirement and a reason to change supplier.

Your MSP might have a useful answer. Does your website explain how you handle that situation? Can someone find that explanation? Do other sources support your description of the business?

AEO brings those questions into your marketing plan.

For an MSP, the useful goal is to become a credible source for the questions prospective customers ask, and a relevant provider when they start considering suppliers.

## What is AEO for MSPs?

**AEO is the practice of improving your business’s visibility and representation in AI-generated answers.** For MSPs, that includes answers about the problems you solve, the services you provide and the customers you support.

There are two outcomes worth separating:

- **Being cited as a source.** An AI answer explicitly identifies or links to your content as supporting information.
- **Being mentioned as a provider.** An AI answer names your MSP when discussing businesses or services.

An article explaining how to compare IT support proposals might help with the first. Clear service information, relevant reviews and credible third-party coverage might contribute to the second.

Read the context of each mention. An answer naming your business is not necessarily recommending it.

A citation, a recommendation and an enquiry are separate outcomes. Your AEO plan needs to account for the steps between them.

For example, being cited in an answer about choosing an MSP is useful. When the reader visits your website, they should also be able to understand who you help, what you offer and how to discuss their requirements.

## How is AEO different from SEO?

**SEO focuses on visibility in search results. AEO focuses on how your business and content appear within AI-generated answers.** The two overlap, and a strong search foundation remains useful.

### Visibility

**SEO:** Where your pages appear in search results.

**AEO:** Whether your business is mentioned or your content is cited in an AI answer.

### Buyer questions

**SEO:** Search terms and the intent behind them.

**AEO:** Questions that can combine needs, constraints and follow-up context.

Both involve understanding what the buyer needs. The wording and context may differ.

### Content

**SEO:** Useful pages that search engines can find and understand.

**AEO:** Useful explanations that can support an answer.

Clear, relevant content serves both purposes.

### Competition

**SEO:** Other pages ranking for relevant searches.

**AEO:** Other providers being mentioned and other sources being cited.

### Measurement

**SEO:** Rankings, impressions, clicks and conversions.

**AEO:** Brand mentions, citations, competitor visibility and identifiable referral conversions.

### Sources

**SEO:** Your website and its wider authority.

**AEO:** Your website alongside reviews, publications, communities and other sources that appear in answers.

AEO does not justify abandoning SEO.

Google states that its existing SEO best practices remain relevant to AI Overviews and AI Mode. It does not require special AI markup or additional technical optimisation for those features. For your MSP, improve the content and evidence buyers need while maintaining the foundations that make that content accessible.

## Why should MSPs pay attention to AI search?

**AI answers give buyers another way to research a problem and compare possible suppliers before contacting you.** Your website analytics show what happens when someone reaches your site. They do not, on their own, show how your MSP was described in an earlier AI conversation.

A prospective customer could ask:

- “How do I know if our business has outgrown its IT support provider?”
- “What should an IT support agreement include?”
- “Should we outsource IT or keep an internal team?”
- “Which providers support businesses like ours?”

Those questions can shape what the buyer looks for next.

If you only monitor website traffic, you may miss whether your business is included, overlooked or described inaccurately.

### What does the data tell us?

Businesses have reported strong conversion performance from AI referrals.

- **Ahrefs reported that AI search supplied 0.5% of its website traffic but 12.1% of sign-ups** during the 30-day period covered by its June 2025 analysis. - **Similarweb reported an 11.4% sales conversion rate for AI referrals, compared with 5.3% for organic search**, using June 2025 ecommerce data. [Similarweb’s analysis](https://www.similarweb.com/blog/insights/ai-news/google-reddit-dominate-in-genai-referrals-to-tech-platforms/).

These findings make AI referrals worth measuring. They do not establish an expected conversion rate for an MSP.

For your business, the question is practical: **are enquiries associated with AI search a good fit, and do they become worthwhile opportunities?**

That requires looking beyond traffic volume.

## Which buyer questions should your MSP track?

**Track questions that reflect your target customers’ problems and buying decisions.** A broad question such as “What is managed IT?” gives you a different view from a question about finding support for a particular business.

Start with the customers you want to serve. Consider their location, sector, operational requirements and reasons for reviewing their IT arrangements.

The examples below show how that changes the questions and the content worth reviewing.

### Unhappy with existing support

**Question:** “What should we check before changing IT support provider?”

**Content to review:** A clear explanation of the decisions involved in switching.

### Comparing suppliers

**Question:** “How should a business compare managed IT support proposals?”

**Content to review:** A comparison guide covering scope, exclusions and questions to ask.

### Has internal IT staff

**Question:** “How do we choose an MSP to work alongside our internal IT team?”

**Content to review:** An explanation of your service and responsibility boundaries.

### Needs local support

**Question:** “Which IT support providers serve businesses in \[location\]?”

**Content to review:** Accurate service-area information and relevant third-party presence.

### Has a sector requirement

**Question:** “What should a \[sector\] business look for in an IT provider?”

**Content to review:** Sector-specific content supported by relevant evidence.

### Is reviewing security support

**Question:** “What questions should we ask an MSP about its cybersecurity services?”

**Content to review:** Clear service descriptions and buying guidance.

### Is checking your business

**Question:** “What services does \[MSP name\] provide, and who does it work with?”

**Content to review:** Consistent business information, service pages and reviews.

These are illustrative questions. Replace the bracketed details and adapt the wording to your actual market.

A provider focused on local professional services businesses should not judge its progress using the same questions as an MSP pursuing national, multi-site customers.

Also distinguish **branded** from **unbranded** questions:

- A branded question tests what AI says when the buyer already knows your name.
- An unbranded question tests whether your business appears when the buyer starts with a need.

Both matter. They answer different questions about your visibility.

## How do AI answers draw on information about your MSP?

**When an AI tool searches the web, its answer may cite pages from your website or other sources discussing your business and services.** The sources depend on the question, platform and feature being used.

For example, Google describes how AI Overviews and AI Mode can issue several related searches to find supporting pages. It also states that the responses and links can differ between those features. Examine the citations in your recorded answers. They give you evidence about the sources used in that response, rather than a complete account of everything influencing the model.

Several areas are worth reviewing.

### Your website

**Examples:** Service pages, articles, FAQs and comparison guides.

**Check:** Does the content explain your services clearly and answer relevant questions?

### Third-party coverage

**Examples:** Industry publications, provider roundups and partner content.

**Check:** Is your business represented accurately in sources that appear in answers?

### Reviews

**Examples:** Google Reviews and other relevant review platforms.

**Check:** What do customers actually say about your service?

### Social and video

**Examples:** LinkedIn articles, YouTube explanations and discussions.

**Check:** Does the material address questions your buyers ask?

### Communities

**Examples:** Relevant forums and professional discussions.

**Check:** Are you contributing useful knowledge where those discussions matter?

### Customer evidence

**Examples:** Case studies and approved testimonials.

**Check:** Does the evidence support your positioning?

Treat these as places to investigate. You do not need to be everywhere.

If answers to your priority questions repeatedly cite an industry publication, that is useful evidence. If they cite detailed provider guides, examine what makes those guides relevant.

Your own website still matters. So does the accuracy of the information about you elsewhere.

If your website describes a sector specialism but your profiles and supporting evidence say little about it, review how well the wider information supports that claim.

## The five parts of an MSP AEO strategy

**A practical MSP AEO strategy connects visibility monitoring, competitor analysis, citation analysis, question tracking and content work.** Each part should lead to a decision.

### 1. Establish your visibility

**Find out whether your MSP appears in answers to relevant buyer questions, and how it is described.**

Start with a manageable set of **10–25 buyer questions**. Review them across platforms such as ChatGPT, Gemini and Perplexity.

That range is a starting point for organising the work. The relevance of the questions matters more than reaching a particular count.

Record:

- The exact question.
- The platform and model or search mode, where shown.
- The date of the check.
- Whether your MSP is mentioned.
- Whether your content is explicitly cited or linked.
- Which competing providers appear.
- Which sources the answer cites.
- Any inaccurate description of your business.

Keep the answers as evidence. A score is more useful when you can examine what produced it.

These checks are samples. They show what appeared in the recorded responses, rather than proving what every buyer will see.

### 2. Compare the right competitors

**Compare providers competing for the same customers on the same questions.**

Look for patterns:

- A competitor appears for a sector you want to serve.
- Another provider is cited for its buying guides.
- Your MSP appears in branded answers but is absent from supplier questions.
- An answer describes a competitor’s services more clearly than yours.

Use those findings to prioritise work.

If another provider appears for a service you do not offer, that may have little commercial relevance. Focus on gaps that match your business.

### 3. Examine citation sources

**Review the sources behind the answers, rather than stopping at the names mentioned.**

Ask:

- Which domains appear repeatedly?
- Are the answers citing service pages, guides, reviews or comparison articles?
- What information do those sources provide?
- Where is your MSP missing relevant content or supporting coverage?

Do not assume that copying a cited page’s format will produce the same result.

Use the source to understand the information need. Then decide what accurate, useful contribution your business can make.

### 4. Turn tracked questions into content priorities

**Use the questions and citation gaps to create clear briefs.**

A useful brief explains:

- Who is asking the question.
- What they need to decide.
- What your existing content fails to explain.
- What evidence you can supply.
- Which format would make the answer easiest to use.

For example, “write an article about IT support” leaves too much unresolved.

“Explain how a business should compare IT support proposals when suppliers include different services” gives the writer a reader, a problem and a purpose.

### 5. Make and review the changes

**Use the findings to improve your existing marketing work.**

That might involve:

- Updating an unclear service page.
- Writing a focused buying guide.
- Adding useful answers to an existing FAQ.
- Publishing an approved case study.
- Correcting outdated business information.
- Contributing to a relevant publication or discussion.

Assign an owner. A monthly review is a practical starting cadence for checking visibility and adjusting priorities.

Look for patterns across checks before drawing conclusions about a change. An isolated new citation does not, by itself, prove that an edit caused it.

Monitoring becomes useful when it changes what your team does.

## How to write MSP content that is useful to cite

**Write content that answers a specific buyer question clearly and supports its conclusions.** Structure helps readers use it and makes individual explanations easier to understand.

Focus on specificity, direct answers, clear structure, credible evidence and an accurate business description.

### Answer the question early

A buyer asking how to compare MSP proposals should not have to read an introduction about technology changing the world.

Start with the decision they face.

For example, an opening could say:

> To compare MSP proposals, first check whether they cover the same services and responsibilities. Then examine the exclusions, support arrangements and commercial terms. A price comparison is less useful when the underlying scope differs.

That passage gives the reader something usable immediately. The rest of the article can explain each point.

### Make the subject specific

“Why businesses need IT support” leaves a lot of room for familiar, interchangeable copy.

More focused subjects could include:

- How to compare IT support proposals with different service scopes.
- Questions to ask when an MSP will work alongside internal IT.
- What to check before changing managed service provider.
- How to understand the exclusions in an IT support agreement.

Choose topics your business can address credibly.

A focused subject gives you room to explain the details that affect a real decision.

### Use headings, lists and tables with a purpose

Use headings that tell readers what each section answers.

Use a list when someone needs a sequence or checklist. Use a table when they need to compare the same attributes across several options.

For example:

| Instead of a section headed… | Use a heading that states the question |
| --- | --- |
| Our approach | How will we work with your internal IT team? |
| Flexible solutions | Which services are included, and which are separate? |
| Seamless transition | What happens when you change IT support provider? |
| Industry expertise | What experience do we have supporting your sector? |

Those headings only help if the content beneath them provides a proper answer.

### Put evidence beside the claim

If you claim experience in a sector, support it with relevant, approved evidence.

That could be:

- A case study explaining the customer’s problem and your work.
- A verified customer quotation.
- An accurate description of relevant experience.
- Original information you have permission to publish.
- Third-party validation.

Keep the boundaries clear. A proposed project is not a completed result. A testimonial about helpful support does not prove every claim about your cybersecurity service.

Specific evidence makes your content more useful to a buyer and more defensible as a source.

### Keep your business description consistent

Review how your MSP is described across its website, profiles, partner listings and other relevant sources.

Check that the descriptions agree on:

- The services you provide.
- The customers you serve.
- Your service area.
- Your specialisms.
- Your current credentials.

Consistency means maintaining an accurate picture of the business. It does not require repeating the same paragraph everywhere.

## How should an MSP measure AEO?

**Measure visibility, accuracy and commercial results separately.** Define how you will count each measure, then apply that method consistently.

### Brand visibility

For a simple baseline, you can define brand visibility as **the percentage of recorded answers that mention your MSP**.

Use this calculation for a specified platform and review period:

**Brand visibility = recorded answers mentioning your MSP ÷ total answers reviewed × 100**

Count each answer once, even if it mentions your MSP several times.

This is a chosen measurement method, not a universal AEO standard. Tools may use different definitions, question sets or scoring systems.

Keep the exact questions, platform, search mode, dates and number of checks alongside the percentage. If you change the question set or method, record the change before comparing results.

The measure helps answer: **are we appearing for the needs we want to serve?**

### Competitor share of voice

Compare how often selected competitors and your MSP appear in the same recorded answers.

If your tool reports “share of voice”, check how it calculates that figure and which competitors it includes.

This helps answer: **which providers appear more consistently for these questions?**

### Description and sentiment

Review how your business is characterised when mentioned.

Automated sentiment scores can flag answers for review. Read the underlying description too. A positive answer that gets your service area wrong still needs attention.

This helps answer: **is the description accurate and favourable?**

### Question-level visibility

Examine which questions produce mentions or citations, and which do not.

This helps answer: **which relevant topics need attention?**

### Citations and citation sources

Record citations separately from brand mentions.

An answer can name your MSP without citing your website. It can also cite your article without recommending your business.

Keep the cited page URLs and examine the other sources appearing in those answers.

This helps answer: **which content and sources support the responses we checked?**

### AI referral traffic

Track visits identifiable as referrals from AI platforms.

This helps answer: **are AI platforms sending people to our website?**

It measures identifiable visits. It does not capture every earlier AI conversation that may have influenced a buyer.

### Referral conversion

Review the actions those visitors take, such as making an enquiry or booking a conversation.

This helps answer: **what happens after an identifiable AI referral?**

### Enquiry and opportunity quality

Assess whether the resulting interest fits your business and progresses commercially.

This helps answer: **are we attracting customers we can serve well?**

### Connect the measurement to your sales process

An MSP needs to understand what happens after the enquiry.

Review whether the prospect fits your target market, what they need and whether the conversation becomes an opportunity.

Use your CRM to keep that commercial context alongside the enquiry. Where identifiable AI referral information is available, retain it between analytics and sales reporting.

The question to answer is: **does this visibility help your MSP reach suitable buyers?**

**Start with a baseline, examine the gaps and improve the most relevant content.** You do not need to rewrite your whole website before learning something useful.

### Phase 1: establish your baseline

- Define the customers, services and locations you want to be known for.
- Select 10–25 relevant buyer questions.
- Include both branded and unbranded questions.
- Review answers across ChatGPT, Gemini and Perplexity.
- Record the questions, platforms, search modes and dates.
- Record mentions, citations, competitors and inaccurate descriptions separately.

- Identify questions where relevant competitors appear and you do not.
- Examine the cited pages and domains.
- Compare those sources with your own content and wider presence.
- Separate missing information from inaccurate information.
- Prioritise gaps that matter to the customers you want.

### Phase 3: improve and review

- Create or update content for your priority questions.
- Use direct answers, clear headings and suitable lists or tables.
- Support claims with evidence you can publish.
- Improve relevant third-party, social or community contributions.
- Assign ownership and start with a monthly review.
- Use a consistent measurement method and record any changes to it.
- Assess referred enquiries alongside their quality and commercial progress.

### Does AEO replace SEO?
